Introduction
When a trucking company stops operating qualifying vehicles in Kentucky, leaving its KYU Account open can create avoidable filing problems. Kentucky requires quarterly KYU returns even when a carrier has no Kentucky travel during a quarter. Simply stopping dispatches does not automatically close the account.
Follow the Kentucky Transportation Cabinet’s closure process, settle outstanding obligations, and obtain confirmation that the account is closed in good standing.
When Should You Close a KYU Account?
A KYU license applies to vehicles subject to Kentucky’s weight-distance tax requirements. If your company no longer operates vehicles with a combined licensed weight in excess of 59,999 pounds, Kentucky’s guidance says to close the account in good standing.
Confirm that the company has stopped operating qualifying vehicles in Kentucky. Selling one truck or pausing operations temporarily may not mean the business no longer needs its KYU Account. If you expect to return with qualifying vehicles, review your situation with the Division of Motor Carriers before closing.
Complete Outstanding Filings and Payments
Before an account can close in good standing, all required KYU filings must be current and outstanding fees or amounts due must be paid.
Review the account for unfiled quarterly returns, unpaid balances, and notices. KYU returns are required quarterly even when the carrier did not travel in Kentucky. A zero-mile return may still be required for a quarter with no Kentucky miles.
Check the return history in the Motor Carrier Portal and resolve missing filings before submitting the final return. Keep copies of returns and payment confirmations.
Select “Ceased Operations” on Your Final Return
Kentucky’s online closure process is tied to the final KYU filing. When submitting the last return, answer “Yes” to the “Ceased Operations” question.
If operations stop in the middle of a quarter, the required filing for that period must still be completed. Report applicable Kentucky miles accurately, pay any amount due, and select “Ceased Operations” during the filing.
Watch for correspondence confirming whether the account has been closed or the request denied. If it is denied, review the reason and resolve any outstanding issues.
What If You Already Filed the Final Return?
If you filed your final return but did not select “Yes” for “Ceased Operations,” the account may remain open.
Kentucky instructs carriers to email the Division of Motor Carriers and request closure. Include your KYU number and explain that the final return was filed but the ceased-operations selection was missed. Keep the email and any reply.
Do not assume the account is closed just because the return was accepted. Wait for state confirmation.
Update Your KYU Vehicle Inventory
After receiving confirmation that the KYU Account has been closed in good standing, open the Motor Carrier Portal and delete the KYU vehicle inventory as directed.
Kentucky notes that the system retains one vehicle as a placeholder in case the carrier resumes operations. This does not mean the closure failed. Keep your confirmation and follow the portal’s instructions.
Removing one sold truck while continuing operations is different from closing the entire account; use the process that matches your situation.
Handle Any Bond on File
After closure is confirmed, check whether a surety bond or cash bond is associated with the account.
If you have a surety bond, contact the surety company and ask it to send the Division of Motor Carriers the required cancellation notification. Do not assume the bond is canceled automatically.
If you posted a cash bond, you may be eligible for a refund. Kentucky identifies Form TC 95-616 for requesting a cash-bond refund. Review the current instructions and keep the request and state correspondence.
Check Other Credentials Separately
Closing a KYU Account does not automatically cancel every trucking credential. Depending on your operations, separate action may be needed for Kentucky fuel-tax accounts, IFTA, IRP, federal operating authority, USDOT registration, UCR, or other permits.
KYU is a weight-distance tax credential, while IFTA relates to fuel-tax reporting. Follow each program’s closure process separately.
